PARENT NOTIFICATIONS

GUARDIANS MUST READ THIS INFORMATION

What Are Class Credits

When a guardian purchases a class package for their student/s, they have the option of purchasing 4 class credits or 12 class credits.

Class credits are used when a student attends their class time or when they no longer have any more excused absences on their account and do not attend their class.

Class credits are also immediately used when scheduling a make up class that has been confirmed by the studio. The class credit is used whether or not the student attends the confirmed make up class they scheduled.

To avoid losing a class credit, guardians and students should be sure to not go over their allotted excused absences on their account and they should also be sure to attend any make up classes that they have requested once confirmed by the studio.

A guardian can have their student/s account frozen if they will be absent for an extended period of time that is a minimum of 1 month and no more than 3 months. This ensures that they do not lose class credits during that time period. Simply use the Freeze Account Form and type in the details in the comments section.

Absences

An absence occurs when a student misses their class time and no longer has any excused absences on their account.

Absences result in losing a class credit. Guardians and students can avoid this by not going over their allotted excused absences.

Excused Absences

Excused absences are automatically docked from a students account when they do not attend their class. No class credits are removed from their account if they have excused absences remaining on their account.

The student can then attend their regular class the following week to use the class credit. There is no need to contact the studio of the absence if their account has any excused absences remaining on their account.

If a guardian and student would like to schedule a make up class instead of using an excused absence from their account, they may do so. Please refer to the “Make Ups” tab.

– 4 Class Package allows the student 1 excused absence.

– 12 Class Package allows the student 6 excused absences.

Holidays, Vacations, & Class Credits

Holidays do not affect attendance sheets and class credits.

There is no need to fill out the Excused Absence Form for classes that will be missed during Holidays and Vacations.

No classes are docked when the studio is closed. It is not considered an absence or an excused absence if the studio is closed.

Make Up Class for Absences

If the student no longer has any excused absences on their account, the guardian may schedule a make up class.

The day of the make up cannot be the same day as the students normally scheduled class.

To schedule a class make up, the guardian of the student/s must fill out the Class Make Up Form before the student is absent from their class.

The class credit will be removed from the students account on confirmation of the make up class whether or not they attend the confirmed make up class.

Instead of an Excused Absence

If the guardian prefers to not use an excused absence from the students account, the guardian may schedule a make up class.

To schedule a class make up, the guardian of the student/s must fill out the Class Make Up Form before the student is absent from their class.

The class credit will be removed from the students account on confirmation of the make up class whether or not they attend the confirmed make up class.

No Make Up Class is Scheduled

If no make up class is scheduled for an absence and the student has no more allotted excused absences, then the class credit will automatically be docked from the students account.

A make up class can not be scheduled after the class took place that the student was absent from. Make ups must be scheduled before missing the class.

Freezing an Account

You may need to freeze your child’s account.

Freezing an account is necessary when you and your child will be gone for an extended time due to a vacation or emergency.

You do not need to freeze your account while the studio is on a holiday break.

Please, use the freeze account form for requesting to have your child’s account frozen.

Permanently Changing A Class Time

Permanently changing your child’s art class is easy.

1. Simply take a look at the Calendar that applies to your child’s age and level.

2. Once you have found a class time that has open seats and suitable to your child’s schedule, please fill out the Permanent Class Change Form.

3. We will get back to you as soon as possible to confirm the permanent class change.

Calendars

Class availability can be viewed on the online class calendars. Classes that state there are open seats can accommodate students. Class that state “full class” have no room for other students.

If a class time is full and you are interested in having your child that class time, we can add them to the “waitlist.” Please contact us.

Vacations & Holidays

Please familiarize yourself with the vacations and holidays that we have scheduled. There are several locations where you can find this information.

1. On this page you can find the schedule to the right if you are on a desktop computer, or by scrolling down to the bottom of the page if you are on a mobile device.

2. There is also a button at the main menu (desktop version) that is red and has the hand sign for love that will open a side tab and reveal all the holiday times.

3. From the main menu you can find the Holiday Schedule from the Parent Directory link or the Holidays & Events link under the Calendars tab.

4. Finally, another way to find the holiday section is at the footer section under Hours & Holidays. The footer is present on every page.

Absences During Vacations & Holidays

There is no need to schedule a make up class during Vacation Periods. Students will not lose any class credits or Excused Absences during Vacation Periods.

Time vs. Quality

At Oam Studios, we strive to teach our students the intricate techniques that go into mastering an art material and medium.

Because of this, we assign our students exercises in order to perfect those techniques before attempting the techniques on their final projects.

We believe that practice is more important than how many projects are completed.

We believe that a student should complete one project to their highest capability, with the best training, concentration and use of time. This ensures that their work can be used for competitions and portfolios.

We do not believe in rushing students to complete several low quality projects that the student and parents will not be proud of.

Many of the art projects require at least 3 months to complete. Some take nearly 6 months. Please understand that a master artist also requires much needed time to complete their work and that a student requires much more.

Please let us know if you agree or disagree with these values.

Grouping Art Students

Students are taught individually while being in a group setting. Students are grouped together by age, not by skill level. Each student will be working on different assignments based on their placement in our curriculum and also based on the student’s preference on the subject matter. There is no formal critiquing between students unless they are in the Studio Art Class.

Teacher Student Ratio

Foundations Art Class (ages 5-8):

The student:teacher ratio is 5:1

Skills Art Class (ages 9-11):

The student:teacher ratio is 6:1

Studio Art Class (ages 12&up):

The student:teacher ratio is 7:1

Dropping Off Your Child

Please be sure to wait until your child opens the door and enters the building before driving off.

There have been a few times where parents or caretakers have dropped off an art student without verifying that they have entered the studio.

At times the studio has been closed when this occurred and the student has been stranded outside & alone. Luckily we have very kind neighbors that have helped in these situations.

The best way to reduce the chances of this occurring is by keeping up with our Holiday Schedule. There are several ways to find this information on the site.

Picking Up Your Art Student On Time

Please pick up your art student on time. They may wait in the waiting room for 10 minutes.

Late Pick Ups

Students that are picked up later than 10 minutes will have an excused absence docked from their current account.

If all excused absences have been docked or used then a $10 fee will be invoiced.

Please, out of courtesy, text the studio to let us know if you will be late picking up your child.

Credit Card

You may pay via credit card through the emailed or text invoices sent to your phone or email account. This is the preferred method.

You will be asked if you are interested in too save your Credit Card to file. This is fantastic for those that would like to be apart of the atuopay system.

We will still send an invoice before hand to give you notice. Once your child attends their art class and marks their new attendance sheet, the autopay will be initiated, saving you time.

Personal Checks

You may drop off  payment using a check to any of the teachers available at the studio.

Please place cash in a sealed envelope with your child’s name and the invoice number written on the envelope.

Please place the exact payment amount in the envelope since the studio never carries cash.

If you put more then the required amount, we will credit this to your child’s account and it will be deducted on the next invoice.

Cash Payments

Please place cash in a sealed envelope with your child’s name and the invoice number written on the envelope.

Adding to a Beneficiaries Account

You can money, add classes, or make a donation to a student’s account by using the Benefactors Payment Portal. Click below.

Why would someone be interested in this feature?

There are often parents explaining to me that their child’s grandparents want to contribute money to the students accounts. Or, an art student has a birthday and instead of wasteful toys the parents and the student would appreciate gifts in contributions towards their art classes instead.

What ever the reason, The Benefactor’s Payment Portal allows relatives and friends to help purchase classes or gift a monetary contribution to their account.

Late Tuition Payments

There is a late fee of $10 if the tuition is not paid on time.

Each week following there is an additional $10.

Please let me know in advance if there is a particular reason for not being able to make payment on time.
